Safe Passage LLC — Terms and Conditions

Safe Passage LLC provides neutral, professional supervision services to families navigating court-ordered parenting time, exchanges, therapy, and related services. By engaging our services, all parties agree to the general terms outlined below. Please note that each service also carries its own specific terms and conditions, which are provided during the intake process and must be signed before services begin.
A. OUR ROLE
Safe Passage provides neutral supervision. We do not provide legal advice, formal recommendations, or evaluations unless specifically contracted to do so. Our primary role is to observe and, when applicable, report those observations to the Court. We only report what we directly observe during services and through our correspondence with the parties.
Safe Passage staff are mandated reporters. Any information suggesting possible harm to a child will be reported to the appropriate child protective services agency.
B. HOURS AND AVAILABILITY
Service hours are 9:00 AM to 9:00 PM, 365 days a year. Administrative hours are Monday through Friday, 9:00 AM to 5:00 PM, excluding holidays. Please allow 1 to 2 business days for a response to any inquiry. Services outside of standard hours may be available at an additional fee.
Availability may be limited on holidays. Set schedules are strongly encouraged to ensure consistent supervisor availability.
C. GENERAL CONDUCT
All parties are expected to:
- Be courteous and civil with supervisors and co-parents at all times.
- Arrive on time and drug and alcohol free.
- Refrain from discussing court, attorneys, finances, or speaking negatively about the other parent in front of children.
- Refrain from using children to relay messages, documents, or items to the other party.
- Follow all directives from Safe Passage staff.
Profanity, threats, insults, or blatant disregard of supervisor directives may result in immediate termination of services. Safe Passage reserves the right to terminate any session at any time without stating a specific reason.
BAC/breathalyzer testing is available and may be required if there is suspicion of alcohol use. Refusal to submit may result in termination of services and an incident report to the Court.
D. PAYMENTS AND FEES
All fees must be paid at least 48 hours in advance of any scheduled service through your client portal at safepassagekc.com. Safe Passage does not determine payment responsibility between parties — that is governed by Court order or written agreement.
A one-time intake fee is required per parent for each service. Even if one parent is ordered to cover 100% of service costs, both parents must pay their own intake fee. Intake fees are non-refundable. If a case is closed or inactive for 60 days (or 90 days depending on service), a new intake and fee will be required.
Late fees apply for payments not received within the required window. Outstanding balances may be reported to the Court, placed on an Order to Appear (OTA) docket, and/or referred to a collection agency with added interest.
If services have ended and a credit remains, a refund will be issued within 7–10 business days. Any balance owed by either party will be deducted from the credit before a refund is issued.
E. COMMUNICATION FEES
Basic scheduling communication is included in service fees. Any correspondence beyond basic scheduling is billed at the hourly service rate, with a minimum charge per email, call, text, or voicemail due to documentation time. This includes communications with attorneys, evaluators, court services staff, and other professionals involved in the case.
The party generating the communication fees is responsible for those fees, regardless of how service costs are otherwise divided by Court order. Outstanding communication fees must be paid before the next scheduled service.
F. CANCELLATION POLICY
All scheduled services must be canceled in writing at least 48 hours in advance. Failure to cancel within this window will result in a charge for the full scheduled service. Exceptions may be made for documented major emergencies or inclement weather.
If a set schedule is in place, the supervisor is not required to confirm each appointment. Reminder emails are sent to the paying parent 72 hours and 51 hours before scheduled services — please ensure Safe Passage emails are not going to spam.
Holiday cancellations require 72 hours notice. Holiday availability is limited and is reserved on a first-come, first-pay basis.
G. REPORTS AND COURT APPEARANCES
Reports are provided upon request only — they are not automatically generated before court dates. Requests must be submitted via email to admin@safepassagekc.com at least one week in advance. All fees must be paid in full before reports are distributed. Reports are submitted to the Court, court professionals, and counsel — not directly to parents or pro se litigants.
Court appearances are billed at an hourly rate with a three-hour minimum, which must be prepaid. Billing begins when the supervisor departs their current location.
H. CONFIDENTIALITY AND INFORMATION SHARING
All communications, conversations, and observations are not confidential and may be included in reports or shared with professionals involved in the case. Safe Passage does not share addresses or contact information between co-parents without mutual consent.
By signing your service-specific terms and conditions, you authorize Safe Passage to exchange information with attorneys, therapists, evaluators, Guardians ad Litem, and other relevant professionals involved with your family.
You also consent to Safe Passage recording sessions or phone conversations for training and reporting purposes. Parties may not record any interactions with Safe Passage.
I. CHANGES IN SUPERVISION
Once supervision ends or changes are made, Safe Passage must be notified in writing via Court order, journal entry, written agreement of the parties, or verification from a GAL. Until such confirmation is received, services will continue as previously established.
J. LIABILITY
By engaging Safe Passage services, each party agrees that neither they, nor their heirs or legal representatives, will make a claim against, sue, or seek compensation from Safe Passage LLC or its staff for any loss, damage, bodily injury, disability, illness, disease, trauma, death, financial loss, or other harm of any nature — whether foreseen or unforeseen — arising out of direct or indirect participation with Safe Passage.
K. SERVICE-SPECIFIC TERMS AND CONDITIONS
In addition to these general terms, each service has its own detailed terms and conditions covering procedures, fees, scheduling, location requirements, and conduct specific to that service. These are provided during intake and must be signed before services begin. Services include:
- Supervised Parenting Time (SPT)
- Therapeutic Supervised Parenting Time (TSPT)
- Monitored Parenting Time (MPT)
- Supervised Exchanges
- Supervised Video Calls
- Co-Parenting Coaching/Conflict
- Individual Therapy
- Reintegration/Family Therapy
